Deliver leads instantly
Click-by-click: pipe new leads to your buyer in real time via webhook / Zapier / a shared sheet.
Speed-to-lead is everything — a lead reached in minutes converts far better than one reached an hour later. This guide wires your funnel to deliver each new lead to your buyer instantly. We'll use Zapier (works with any builder); HighLevel is the all-in-one alternative.
Option A — Zapier (works with anything)
- Create a Zap → Trigger: your form tool (Heyflow / Typeform / "Webhooks by Zapier") → event "New submission".
- Connect and pull a test submission so Zapier sees your fields.
- Action 1 — notify the buyer instantly: add Email and/or SMS (Twilio) with the lead's details (name, phone, email, answers).
- Action 2 — log it: add Google Sheets → Create row mapped to your tracker columns (your record + a backup).
- Action 3 (optional) — push to their CRM: add a Webhook action and map fields to the buyer's CRM endpoint (they provide the URL/fields).
- Turn the Zap on. Use a paid Zapier plan — free/cheap tiers can delay tasks ~15 min, which kills speed-to-lead.
Option B — GoHighLevel (all-in-one)
- In HighLevel: Automation → Workflows → Create.
- Trigger: Inbound Webhook (copy the URL) or your form/survey.
- In your funnel builder, paste that webhook URL into its Hooks/Integrate tab; submit a test lead.
- Map fields to Create/Update Contact, then add Email + SMS notification steps to the buyer/agent.
- Optionally add a Call step to auto-dial when a lead comes in.
Warm the lead (boosts contact rate)
- Add an SMS to the lead right after submission: "Hi [name], your request is in — [Buyer] will call you shortly with your quote. Save this number."
- This primes them so the buyer's call isn't a cold surprise.
Multiple buyers, same niche?
If you sell the same vertical+geo to several buyers, use lead-distribution software (Lead Prosper, or n8n for technical folks) to route/split leads by rules instead of hand-wiring each.
Test the whole chain
- Submit a live test lead through the funnel.
- Confirm: buyer got the email/SMS within seconds, the sheet logged a row, (and CRM received it if used).
Deliver in seconds, in more than one way (email + SMS + sheet). Clients judge you on meetings/sales that happen — and speed is the biggest lever.
