How to enrich Salesforce contacts with emails and phone numbers

Short answer

Run a Salesforce report of contacts or leads with no email or phone, export it as CSV with the Contact or Lead ID, upload the file to Scrupp to find work emails and phone numbers, then update the records with the Data Import Wizard or Data Loader matched on the Salesforce ID.

Export, enrich, import back

  1. Step 1

Build a report of records with missing data

Create a Contacts and Accounts report (or a Leads report) with a filter such as Email equals blank or Phone equals blank. Add the columns Contact ID (or Lead ID), First Name, Last Name, Account Name (or Company) and Title.

  2. Step 2

    Export the report to CSV

Click Export, choose Details Only and the .csv format. Keep the ID column: it is how Salesforce will find the records again.

  3. Step 3

    Upload the file to Scrupp

Create a free account, upload the CSV and map the name and company columns (and a LinkedIn URL if you store one). Scrupp looks up a work email and a phone number for each row.

  4. Step 4

    Download the enriched file

Download the result as CSV and check that the ID column is still there. If it is not, match the rows back by name and company in a spreadsheet before the next step.

  5. Step 5

    Update the records in Salesforce

In Setup → Data Import Wizard choose Contacts or Leads, select Update existing records and match by Salesforce.com ID. Map the found email to Email and the phone to Phone. For large files, Data Loader’s Update operation does the same by ID.

Three checks that keep Salesforce clean

  • Match on the record ID, not on email. The contacts you are enriching have no email yet, so email cannot be the match key. Without the ID, Salesforce creates duplicates instead of updating.
  • Import only the columns you want to change. Delete the name, company and title columns from the file before importing, and keep the ID plus the new email and phone columns.
  • Test on ten rows first. Import a small file, open two or three records in Salesforce and check the fields landed where you expected.

Questions about enriching Salesforce contacts

Do I need an AppExchange package or Sales Navigator?

No. The flow uses a Salesforce report export and the Data Import Wizard or Data Loader, which come with Salesforce. Nothing is installed in your org.

Does it work for both Leads and Contacts?

Yes. Run the job separately for each object, because they have different IDs and import screens.

Which columns does Scrupp need?

A first and last name plus a company name or domain for each row. A LinkedIn profile URL helps when you have it. Keep the Salesforce record ID in the file so the import can update the right records.

What does it cost?

Credits are charged per result: +1 when an email is found and +2 when a phone number is delivered. A row with nothing found costs no extra, and a CSV job that adds nothing to any row is free. New accounts get 100 free credits.

Will every contact get an email?

No. Across Scrupp exports a work email is found for 36.3% of people, and the share in your list depends on who is in it. Rows with nothing found stay as they were in Salesforce.
