How to enrich HubSpot contacts with emails and phone numbers

Short answer

Filter the HubSpot contacts that have no email or phone, export that view to CSV with the Record ID, upload the file to Scrupp to find work emails and phone numbers, then import the file back into HubSpot matched on Record ID so the existing contacts are updated rather than duplicated.

Export, enrich, import back

  1. Step 1

Build a view of contacts with missing data

In HubSpot go to CRM → Contacts and add filters such as Email is unknown or Phone number is unknown. Save it as a view so you can repeat the job next month.

  2. Step 2

    Export the view to CSV

Click Export, choose CSV and include these properties: Record ID, First name, Last name, Company name and, if you store it, the LinkedIn URL. Job title helps you check the results but is not required.

  3. Step 3

    Upload the file to Scrupp

Create a free account, upload the CSV and map the name and company columns (and the LinkedIn URL if you have it). Scrupp looks up a work email and a phone number for each row.

  4. Step 4

    Download the enriched file

Download the result as CSV and check that the Record ID column is still there. If it is not, match the rows back by name and company in a spreadsheet before the next step.

  5. Step 5

    Import it back into HubSpot

Go to Import → Start an import → File from computer → One file → One object → Contacts. Map Record ID to Record ID, the found email to Email and the phone to Phone number. HubSpot then updates the existing contacts instead of creating new ones.

Three checks that keep HubSpot clean

  • Match on the record ID, not on email. The contacts you are enriching have no email yet, so email cannot be the match key. Without the ID, HubSpot creates duplicates instead of updating.
  • Import only the columns you want to change. Delete the name, company and title columns from the file before importing, and keep the ID plus the new email and phone columns.
  • Test on ten rows first. Import a small file, open two or three records in HubSpot and check the fields landed where you expected.

Questions about enriching HubSpot contacts

Do I need a HubSpot integration or a paid HubSpot plan?

No. The flow uses HubSpot’s own CSV export and import, which every HubSpot plan has, including the free CRM. Nothing is installed in your portal.

Can I add new leads from LinkedIn the same way?

Yes, but that is a different job: you export a LinkedIn or Sales Navigator search with Scrupp and import new contacts. See how to import LinkedIn contacts to HubSpot.

Which columns does Scrupp need?

A first and last name plus a company name or domain for each row. A LinkedIn profile URL helps when you have it. Keep the HubSpot record ID in the file so the import can update the right records.

What does it cost?

Credits are charged per result: +1 when an email is found and +2 when a phone number is delivered. A row with nothing found costs no extra, and a CSV job that adds nothing to any row is free. New accounts get 100 free credits.

Will every contact get an email?

No. Across Scrupp exports a work email is found for 36.3% of people, and the share in your list depends on who is in it. Rows with nothing found stay as they were in HubSpot.
