How to Use Google Sheets Add-on with WARMUP() Formula for Outreach

This tutorial will guide you step-by-step on using the WARMUP() formula, which formats and cleans data for outreach campaigns. This formula pulls data from specific columns in the current row, removes unnecessary symbols, and returns a formatted string suitable for outreach messages.

The WARMUP() formula is particularly useful for crafting highly personalized outreach messages. By cleaning and formatting data such as names, company details, and job specifics, it helps ensure that your messages appear professional and tailored, significantly increasing the likelihood of engagement. This process also helps in bypassing spam filters, which often flag generic or poorly formatted emails, thereby improving your email deliverability and overall campaign effectiveness.

Step 1: Set Up Open AI API key

1. Install the Scrupp add-on for Google Sheets

 2. Go to OpenAI and create an account or log in if you already have it

 3. Go to the API keys page and create a new API key

Step 2: Set Up Google Sheets

1. Provide API key to the Scrupp addon and after saving click Activate account

2. Create or open a Google Sheet:

  • Create a new Google Sheet or open an existing one where you have Scrupp columns with headers like:
    • first_name
    • time_in_position
    • time_in_company
    • changed_job
    • job_details
    • latest_post
    • company_name
    • company_about
    • position

3. In a separate column type =WARMUP() formula

4. Select a column and click Cmnd + Enter (Alt + Enter) to launch formula on other rows

5. Create a new empty column and copy and paste the values from the formula column to avoid the next launches.

Give a name to a column like warmup and you can use this column in any email outreach tool like a variable to start a conversation.

In the outreach tool, you can insert the warmup message like a variable from the start, for example

[WARMUP]

Best Practices for Using Outreach Variables

  • Ensure Data Accuracy: The effectiveness of personalized variables hinges on the quality of your data. Double-check all fields (names, companies, positions) for typos or inaccuracies before launching your campaign.
  • Contextual Relevance: Use variables to enhance the message, not just to fill space. The inserted data should naturally flow within the sentence and add value to the recipient.
  • Fallback Options: Some outreach tools allow for fallback text if a variable is empty. Utilize this feature to prevent awkward blanks in your messages.
  • Test Thoroughly: Always send test emails to yourself or colleagues to see how the variables render in the final message. This helps catch any formatting issues or missing data points.
  • Combine with AI: Tools like Scrupp, leveraging OpenAI, can generate more sophisticated and contextually rich personalized intros than simple variable insertion, taking your outreach to the next level.
